Free Notion Templates for Freelancers: Client CRM, Project Tracker and Invoice Log

Freelancing comes with admin work nobody pays you for: tracking clients, chasing projects, remembering invoices, and following up on late payments. A good system handles this without costing a monthly subscription. Notion's free plan is flexible enough to run a small freelance business, and with a few well-chosen templates you can build a client CRM, a project tracker, and an invoice log that actually get used.

Start with a client CRM. The simplest version is a database where each row is a client, with properties for contact details, how you found them, their industry, their usual rates, and notes on working style. Add a field for last contact date, so you can spot relationships going cold and send a check-in before the client forgets you exist. One page per client also gives you a place to store project history, preferences, and anything you should remember next time you work together — like time zones, communication preferences, and payment terms.

Next, build a project tracker. Each project gets a card that moves through stages: lead, proposal, in progress, review, delivered, and paid. Key fields include deadline, fee, scope summary, and a link to the client record. The power of this view is its honesty: it shows at a glance how many projects are open, which deadlines are closest, and whether you have too much or too little work coming in. Freelancers who juggle this in their heads inevitably drop something; a board view makes dropped balls visible before a client notices.

The third piece is the invoice log. This is a simple table: invoice number, client, amount, date sent, due date, and status. Filters show unpaid invoices and overdue ones at a glance. This log is what turns late payment from a vague anxiety into a concrete task list. Pair it with a habit: every Friday, check the overdue filter and send polite follow-ups. Freelancers who follow up systematically get paid faster than those who hope clients remember.

Setting these up in Notion is straightforward. You can start from Notion's template gallery or duplicate free community templates, then adapt the properties to your workflow rather than adopting someone else's system wholesale. Keep property counts low — every field you add is a field you must maintain. Link the databases together with relation properties so a project connects to its client and an invoice connects to its project. That linking is what turns three separate lists into one system.

The real challenge is not building the system but keeping it alive. The trick is to make updating it part of existing habits: update the project tracker when you open your work each morning, log an invoice the moment you send it, and record client notes right after a call. A system maintained in thirty-second bursts stays current; a system that requires a weekly admin session gets abandoned. With these three templates in place, your freelance business runs on rails — and the only subscription you are paying for is the time you already spend.

A few Notion features make these templates far more powerful. Use a template button inside your project tracker so each new project starts with a checklist: proposal sent, contract signed, deposit received, draft delivered, feedback received, final delivered, invoice sent, payment confirmed. Use a formula property in your invoice log to automatically flag invoices more than seven days overdue. Use a filtered view that shows only active projects, so your daily workspace stays clean while archived work remains searchable. These small touches take minutes to set up and save hours over a year — and they are the difference between a template you admire once and a system you rely on daily.
