Bookkeeping is the chore every small business postpones, and free accounting software removes the main excuse: it costs nothing to record income and expenses properly from day one. A free tool tracks invoices, expenses, bank transactions and basic reports, giving you a clear picture of whether the business is actually making money — not just whether cash arrived this week. For a freelancer or a micro-business, that picture is often the difference between a hobby and a business.

Free accounting tools typically cover the essentials: invoicing, expense recording, bank feeds or manual bank imports, and core reports like profit and loss and a balance sheet summary. What they usually limit is users, connected bank accounts, invoice volume, or advanced features like payroll, inventory and multi-currency support. Before choosing, check the limits against your reality: how many invoices you send monthly, whether you need a second user such as an accountant, and whether the tool supports your currency and local tax treatment. A tool that is free but wrong for your country costs more in workarounds than a paid tool costs in fees.

Setup takes an afternoon and pays for itself all year. Create a simple chart of accounts — income, materials, rent, transport, software, professional fees — and use the same categories every time, because consistent categories make your reports meaningful. Connect your business bank account if the free plan allows it, or import statements monthly if it does not. Record expenses as they happen, photographing receipts with your phone, rather than reconstructing a month from memory. Separate business and personal spending from the start: a separate account, even a basic one, prevents the most common bookkeeping headache for small owners.

Three reports run a small business. The profit and loss statement shows income minus expenses over a period, and whether the business is profitable or merely busy. The cash flow view shows when money actually arrives and leaves, which is what decides whether you can pay rent this month. The outstanding invoices report shows who owes you and how overdue they are, which is the report that gets you paid. Review all three monthly, even briefly, and you will spot problems — a rising expense, a late-paying client, a quiet month ahead — while there is still time to act on them.

The right time to pay for accounting software is when a specific limit bites: you need payroll, you send more invoices than the free plan allows, or your accountant needs direct access the free plan does not offer. Until then, free software plus a monthly reconciliation habit gives a small business everything it needs to stay organised, file taxes with less panic, and answer the only question that matters with confidence: is this business making money? Start free, stay consistent, and let the business's growth — not a sales page — decide when to upgrade.

Set aside one afternoon this month to set up your free accounting tool properly: categories, bank connection or import, and a monthly reconciliation reminder. That single afternoon replaces a year of guessing about whether the business is actually profitable.
