Small businesses are frequent targets for account takeovers, not because attackers care about the business specifically, but because weak and reused passwords make many small businesses easy to breach at scale. When one password is reused across email, banking, social media, and supplier accounts, a single leak can compromise them all. A password manager breaks that chain by letting every account have a unique, strong password that nobody needs to remember.

A password manager stores your logins in an encrypted vault, protected by one strong master password that only you know. When you visit a site, it fills in the correct login automatically, so you do not need to type or remember dozens of passwords. Good managers also generate strong random passwords for new accounts, warn you about reused or breached passwords, and sync across devices, so a password saved on a laptop is available on a phone when you need it.

Free plans vary more than marketing suggests, so check the details before committing a business to one. Some free plans cover one device only, others limit the number of stored passwords or sharing features, and some reserve team features such as shared folders and admin controls for paid plans. For a solo freelancer, a generous free plan is often enough; for a small team that needs to share logins securely, the free tier's sharing limits matter more than its storage limits.

Security features to prioritise include strong encryption, two-factor authentication for the vault itself, a clear security track record, and the ability to export your data if you switch providers. Avoid managers that store your master password on their servers in a recoverable form, and be wary of free tools with no clear business model or update history, because a password manager is a long-term trust decision, not a casual app choice.

Rolling out a password manager to a small team works best in stages. Start with the owner or manager, import existing passwords, and use the manager's security report to identify reused and weak passwords. Change the most important accounts first, such as email, banking, and domain administration, because those accounts can reset many others if compromised. Then invite team members, share only the logins each person needs, and remove access promptly when someone leaves.

Training matters as much as software. Show the team how to generate a password, save a new login, and use autofill, and explain why they should never share passwords by chat or email again, even internally. A short written policy, stating that all business logins live in the manager and that personal passwords should stay separate, prevents the gradual return to spreadsheets and sticky notes that undermines the whole system.

A free password manager will not solve every security problem, and it should sit alongside two-factor authentication on important accounts, regular software updates, and basic phishing awareness. But it removes the most common weakness, reused passwords, at no cost, and it does so in a way that actually makes daily work easier, because logging in becomes faster, not harder. That combination of security and convenience is why it is one of the highest-value free tools a small business can adopt.

Finally, remember to protect the recovery options for your password manager itself, because losing access to the vault can lock you out of everything at once. Store your master password and recovery key somewhere safe and offline, separate from the devices you use daily, and make sure a trusted person or a secure business record can recover access if you are unavailable. Test the recovery process once, while you are calm and have time, rather than discovering a problem during an urgent login, because a password manager is only as reliable as its recovery plan.
