The first week of a client project often decides how the whole engagement feels. When onboarding is messy — missing logins, unclear goals, nobody sure who approves what — the project starts with frustration, delays and awkward messages that set a defensive tone. A simple client onboarding checklist prevents most of that, by making sure every essential question is asked, every access is granted, and every expectation is agreed before real work begins. It costs nothing to build and saves hours on every project.

The checklist's first section should capture what success looks like in the client's words: the problem they want solved, the outcome they expect, and how they will judge whether the project worked. Record the agreed scope in plain language, including deliverables, revision rounds and what is explicitly out of scope, because most scope disputes trace back to an assumption made in week one that was never written down.

Also record the client's timeline and any hard deadlines, such as a launch date or an event, and confirm whether those dates are flexible or fixed. A deadline assumed flexible by you and fixed by the client is a conflict waiting to happen, while a deadline discussed openly in onboarding can be planned around or renegotiated before work starts.

The second section covers the practical items that stall projects when missing: logins or invitations to the tools you need, brand assets such as logos and style guides, existing content or data, and the names and roles of everyone involved. List each item with a space to mark it received, so you can see at a glance what is still outstanding instead of discovering a missing login on the day you need it.

Identify the decision-maker and the day-to-day contact separately, because they are often different people, and confirm how approvals work: who signs off each stage, how quickly they typically respond, and what happens if they are unavailable. That clarity prevents work from sitting unapproved for weeks while you wonder whom to chase, and it shows the client you take their internal process seriously.

The third section sets communication rules: preferred channel, expected response times on both sides, meeting frequency, and where project files and updates will live. Agreeing these rules early avoids the common pattern where the client expects instant replies on one channel while you check another, and it gives both sides a fair standard to hold each other to without resentment.

Confirm payment terms in the checklist too, even if they appear in your proposal or contract: amount, schedule, payment method and invoice recipient. Onboarding is the last comfortable moment to resolve a billing question, because raising it mid-project, when work is already underway, feels confrontational in a way that raising it at the start does not.

Send the checklist to the client as a simple document or form, and work through it together on a short kick-off call rather than emailing it as homework. A call surfaces misunderstandings faster than a form, builds rapport, and lets you ask follow-up questions that a static document cannot. Tick items off visibly during the call, and send a completed summary afterwards so both sides share the same record.

After each project, note which checklist items saved time and which questions you wish you had asked sooner, and update the template accordingly. Within a few projects you will have a checklist shaped by real experience rather than theory, and new clients will notice the difference immediately: a smooth, professional start that makes them confident they chose the right person. That confidence is worth more than any single deliverable, because it is what turns a first project into repeat work.
