  • Overview: Stop the back-and-forth of booking calls. Compare the best free scheduling tools for freelancers — including Calendly alternatives — and pick the one that fits how you work....

Every freelancer knows the email chain: 'When are you free?' followed by four replies, two time zone confusions, and a meeting that never happens. A scheduling tool ends that. You share a booking link, the client picks a time that works, and the meeting appears in your calendar automatically. The best part is that several good scheduling tools are free — including alternatives to Calendly that cost nothing at all.

Calendly's free plan is the most popular starting point: one event type, unlimited meetings, and automatic calendar sync with Google or Outlook. It is enough for most freelancers who only need one kind of call, such as a discovery call. Cal.com is the strongest free alternative — open source, with unlimited event types on the free plan, so you can offer discovery calls, project check-ins, and paid consultations from the same account. Other free options include Google Calendar appointment schedules, which are built into a free Google account, and Microsoft Bookings for Outlook users.

The features that matter most are the ones that prevent problems. Buffer time between meetings stops back-to-back calls from running over. A limit on how far ahead clients can book keeps your calendar under control. Automatic time zone detection prevents the classic mistake of a client booking 9 a.m. their time and 9 p.m. yours. And a reminder email an hour before the meeting cuts no-shows dramatically — most tools send one by default, so check that it is switched on.

Setting up a scheduling tool takes about fifteen minutes. Connect your calendar, set your working hours, create your event types, and write a short description for each one that tells the client what the call is for and what to prepare. Add the booking link to your email signature, your proposals, and your social profiles, so clients find it without asking. And test the link yourself before sharing it — book a test meeting, check that the time zone is right, and confirm the reminder arrives.

The habit that makes scheduling tools work is protecting your calendar. Block out time for deep work first, then open the remaining slots for bookings — otherwise clients will fill your best working hours with calls. Review your availability weekly, and turn off bookings during holidays or busy project weeks. A free scheduling tool saves hours of admin every month, and the freelancers who use one look more professional from the very first interaction.

A client who books a call and does not show up costs you more than the hour — it costs the preparation, the context switching, and the slot you could have given someone else. A simple no-show policy prevents most of it. State on your booking page that calls must be cancelled at least 24 hours in advance, and that a missed call without notice may require a deposit for rebooking. Most clients respect a clear policy, and the ones who do not are the ones you least want as clients.

For paid consultations, take payment at the time of booking. A client who has paid rarely fails to show up, and if they do, you have been compensated for the time. For free discovery calls, a deposit is too much friction — instead, send a reminder email the day before and an hour before the call, and keep the call to fifteen or thirty minutes so a no-show costs you little. Track your no-show rate monthly: if it climbs above one in ten, your reminder system needs fixing, not your clients.
