In freelancing, the fastest quote often wins the job. A client who asks three freelancers for a price will usually hire the one who replies first with a clear, professional number — not necessarily the cheapest. A free quote and estimate template lets you send that reply in minutes, with your price broken down clearly and your terms stated upfront, instead of drafting a new email from scratch every time.

A good quote template has six parts. Your business details and the quote number and date go at the top. The client's name and the project title follow. The body lists each item of work with a short description and a price, so the client can see exactly what they are paying for. Below that, show the subtotal, any tax, and the total. Then add the validity period — how long the price holds — and your payment terms. End with a short line telling the client how to accept, such as replying to the email or signing the attached form.

Free quote and estimate templates are available in Word, Excel, Google Docs, and Google Sheets, and most invoicing tools generate one automatically. Excel and Sheets are best when the price has several line items, because the template adds them up for you. For simple jobs, a Word or Docs template is faster. Save a master copy with your business details filled in, and each new quote is a five-minute job: change the client, the items, and the total.

The details that win work are the ones clients notice. A validity period of 14 or 30 days creates gentle urgency and protects you from a client accepting a price six months later when your rates have risen. Payment terms — such as 50 percent upfront — should be on the quote, not introduced later. And a short expiry note on the quote itself, like 'valid until 19 November', is more professional than a price with no end date. Clients trust a quote that looks like it came from a business, not a text message.

The biggest mistake is sending a price with no breakdown. A single number invites the client to negotiate it down, because they cannot see what is inside it. A broken-down quote shows the value behind the price, and it makes it easy for the client to remove an item instead of haggling over the total. Use the template on every enquiry, reply within 24 hours, and track which quotes turn into work — the pattern will tell you more about your pricing than any rate guide.

Most quotes do not get an immediate reply, and that is normal — clients are busy, comparing options, or waiting for approval. A single polite follow-up a few days after sending the quote is professional, not pushy. Keep it short: ask if they have any questions, offer to adjust the scope if the price is above their budget, and remind them of the validity date. One follow-up doubles your chances of winning the work; three follow-ups in a week will annoy the client.

If the client says the price is too high, do not drop it immediately. Ask which part of the quote feels expensive, and offer to reduce the scope instead — fewer deliverables, fewer revisions, a longer timeline. This keeps your rate intact and gives the client a cheaper option that still works. And if the client never replies, move on: record the quote as lost, note the reason if you know it, and focus on the next enquiry. A lost quote is data, not a failure.
